Document management inside the systems people already use

Documents in a Qatari company live in WhatsApp groups, email attachments and a shared drive with seven versions of the same contract. A document management system fixes that only if it sits where work happens: the contract attached to the customer in CRM, the invoice PDF stored with the accounting entry, the employee's Qatar ID and contract on the HR record with expiry alerts, the drawing on the project. Standalone document repositories that nobody opens do not change behaviour.

We implement document management on Zoho WorkDrive with Zoho CRM, Books and People, on Odoo Documents with workflows and e-signature, and on ERPNext's file and attachment model, with folder structures, permissions, versioning, retention and search. Approval workflows route contracts, purchase requests and HR letters to the right people; Zoho Sign or Odoo Sign completes them digitally.

Compliance is designed in: retention periods for financial records, access restricted by role, audit trails of who viewed and changed what, and data residency where policy requires. Scanning and OCR bring paper archives in; AI document processing extracts fields from invoices and contracts so they are filed and posted without retyping.
