Visitor Management System

A visitor log in a notebook tells you nothing when you need it. This module registers visitors and contractors properly, issues passes, and leaves a record you can search.

  • Controlled site access
  • Faster reception handling
  • Contractor compliance
  • Searchable entry history

What it covers

Pre-registration

Hosts register expected visitors in advance with automatic notification.

Hosts are notified on arrival, so reception is not chasing people by phone.

Gate passes

Printed or digital passes with validity windows and access zones.

Passes expire on their own, which stops yesterday's visitor walking in today.

Contractor induction

Safety acknowledgement and document checks before site entry.

Induction is recorded against the contractor, giving a defensible safety record.

Material gate pass

Inbound and outbound material movement recorded against gate entries.

Material movement is tied to the gate entry that carried it in or out.

Blacklist & alerts

Flag and block entries, with alerts to security and the host.

Blocked entries alert security and the host at the same time.

Access records

Searchable history of who entered, when, and who hosted them.

Entry history is searchable by name, date or host when an incident is investigated.

In practice

Visitor management that connects to security, HR and the front desk

A visitor log on paper at reception is a security gap and a compliance gap. Visitor management done properly pre-registers guests from a calendar invite or a host request, captures identity at arrival with a national ID or Qatar ID scan where policy allows, prints a badge, notifies the host on WhatsApp, and records departure. For sites with contractors it adds inductions, permits and expiry of insurance and certificates.

We build visitor management on Zoho Creator for companies that want a tailored application integrated with Zoho People and Zoho CRM, on Odoo for companies whose HR and facilities run there, and we integrate with the access control and turnstile systems already installed. Kiosk tablets at reception run in Arabic and English; hosts approve from their phone.

Reports cover who was on site and when, contractor compliance, visitor volumes by host and department, and evacuation lists generated in seconds. Data retention follows your PDPPL policy, with personal data purged on schedule.
