Planning an ERP go-live in Qatar around Ramadan and Eid

The calendar decides more ERP outcomes in Qatar than the software does. Go live in the wrong month and reduced hours, holidays and peak trading turn a solid implementation into a difficult first close. This guide sets out how to pick the date.

Why the date matters

A go-live needs three things the calendar can take away: people at their desks for training and the parallel run, a quiet trading period so mistakes are cheap, and a support team available for the first month-end. Ramadan shortens the working day, Eid closes the business for a week or more, year-end pulls finance into the audit, and every sector has its peak, from the school-fee season to the summer for retail.

The guide applies to Zoho, Odoo and ERPNext projects alike. The implementation checklist covers the rest of the plan.

The windows to avoid

PeriodWhy it hurtsWhat to do instead
RamadanShorter hours, lower energy, reduced availabilityUse it for data cleansing and configuration, not cut-over
Eid al-Fitr and Eid al-AdhaClosures and travel; no one to answer day-one questionsGo live at least three weeks after
Year-end auditFinance is unavailable and balances are movingCut over at the start of the year or a mid-year month-end
Sector peakMistakes are expensive and staff are busyCut over in the quietest month

The sequence that works

  1. Pick the cut-over month-end first, then work backwards.
  2. Finish configuration and trial data loads before Ramadan if it falls in the plan.
  3. Train by role in the two weeks before cut-over, on real data.
  4. Run one close in parallel, reconcile, then switch.
  5. Keep the implementation team on call through the first month-end and the first VAT return.

Mistakes we see

  • Going live the week before Eid to hit a date on a plan.
  • Training during Ramadan and expecting retention.
  • Cutting over on a peak trading month because the licence renewal was due.
  • Ending support before the first close.

Questions before you book

You can configure and load data; cut-over and training are better placed before or after.

At least three weeks, so everyone is back and settled.

The start of the financial year is ideal for balances, but not if finance is in the audit; a mid-year month-end is often better.

One close.
